Download & Install

Get DigiDiary from the App Store. Works on iPhone and iPad with optimized interfaces for each device.

Allow microphone and location access when prompted. Location is optional but enables powerful geotagging features.

Tap the + button to create a diary. Organize by project, time period, or client - unlimited diaries supported.

Getting Started & Basic Usage
How do I create an entry with a specific time?
Simply say the time at the beginning of your recording. For example: "At 1430, signal HY17 cleared" or "At quarter past three, commenced protection" (the app will interpret this based on the time of day - 03:15 for morning, 15:15 for afternoon). The app automatically detects and sets the time from your speech.
Can I customize the vocabulary for my industry?
Yes! Go to Settings → Speech Recognition Settings → Vocabulary Preset. Pre-loaded options include Sydney Trains and ARTC railway terminology. You can also create custom vocabulary for your specific industry, adding technical terms, station names, signal types, or any specialized terminology.
How do I switch between transcription providers?
Go to Settings → Dictation Provider. Select "Apple Dictation" for free 60-second recordings, or "Premium (Accurate)" or "Standard (Fast)" for longer recordings up to 25 minutes. You'll need an API key for the paid AI options.
What's the recording time limit?
Apple Dictation: 60 seconds per recording (free, built-in)
AI Transcription: Up to 25 minutes per recording (requires API key)
For longer documentation with Apple Dictation, simply record multiple consecutive entries.
Multiple Diaries & Organization
How do I create and manage multiple diaries?
Create unlimited diaries for different projects, clients, or time periods. Tap the "Diaries" button in navigation, then tap the + button. Each diary is completely independent with its own entries, settings, and reports. Perfect for separating work projects, personal journals, or client documentation.
How do I switch between diaries?
Tap "Diaries" in the navigation bar to see all your diaries. Tap any diary to make it active. The active diary is where new recordings are saved. On iPad, you'll see a split-screen view with diaries on the left and entries on the right for efficient management.
Can I archive old diaries to declutter my view?
Yes! Swipe right on any diary (except the active one) to archive it. Archived diaries are hidden from your main view but remain fully accessible. To view archived diaries, tap the Archive icon in the app bar. You can unarchive them anytime by tapping "Unarchive" in the archived view.
How do I delete a diary?
Swipe left on any diary and tap Delete. Warning: This permanently deletes the diary and all its entries. If iCloud sync is enabled, it will be deleted from all devices. Deleted diaries can be recovered from the "View Deleted Diaries" screen for a limited time.
Entries & Content Management
Can I edit entries after recording?
Absolutely! Tap any entry to view it, then tap the edit icon. You can modify the text, change the time, add or remove images, or delete the entry. All changes save automatically and sync to iCloud if enabled. Every edit is logged in the audit trail with full revision history.
How do I add images to my entries?
Tap the camera/image icon when creating or editing an entry. You can take a photo directly or choose from your photo library. Images are stored locally and sync via iCloud if enabled. Perfect for documenting work sites, equipment status, or visual evidence. Multiple images can be attached to each entry.
How do I search for specific entries?
Use the search bar at the top of the diary view. Search works across all text in your entries - timestamps, descriptions, and any custom content. You can search for keywords, signal numbers, times, locations, or any text. Results appear instantly as you type.
What is the audit trail feature and why is it important?
Every time you edit an entry, DigiDiary creates a complete revision record. This includes the full text before and after changes, exact timestamp, device ID, and location data. You can view the complete history of any entry by tapping the audit icon. Perfect for compliance, accountability, and quality control in safety-critical or regulated work. Each device gets a crypto-secure persistent UUID for accurate tracking.
How does geotagging work?
When you create or edit an entry, DigiDiary can automatically capture your location (latitude/longitude). View entries on a map to see exactly where you were when recording. Tap any location to open it in Apple Maps or Google Maps. This is perfect for tracking work sites, railway locations, and maintaining accurate location logs. You can enable/disable location capture in Settings.
iCloud & Sync
How does iCloud sync work?
When enabled in Settings, all your diaries and entries sync automatically across all devices using the same Apple ID. Enable "Auto-Sync" to sync every 15 minutes and when you open the app, or tap "Sync Now" for manual sync. All data is end-to-end encrypted by Apple and completely private - only you can access it.
What is Auto-Sync and should I enable it?
Auto-Sync automatically syncs your diary every 15 minutes and whenever you open the app. Enable it in Settings → Cloud Sync → Automatic Sync. Perfect if you use multiple devices (iPhone + iPad) and want your data always up-to-date without thinking about it. Uses minimal battery and data.
What happens if I edit the same entry on two devices?
The most recent edit wins. If you edit an entry on your iPhone at 2:00 PM and on your iPad at 2:15 PM, the iPad version will be kept when devices sync. Both versions are saved in the audit trail, so you can always see what changed and when.
Can I use the app offline?
Yes, but with limitations. You can create entries, add images, and view existing content offline. However, voice transcription requires internet connection (both Apple Dictation and AI Transcription). Offline entries will sync automatically when you reconnect.
Reports & Export
How do I generate a PDF report?
Tap the document icon in your diary, then select "Generate PDF". Choose your date range, select standard format or NRF017 Protection Officer format, and tap Generate. The report includes all entries within that range, formatted professionally with timestamps, descriptions, images (if included), and location data.
What's the difference between standard PDF and NRF017 format?
Standard PDF: General-purpose diary export with Date, Time, and Description columns. Perfect for most professional documentation.

NRF017 Format: Specialized Protection Officer's Diary format designed for railway safety compliance. Includes all required fields and formatting for official railway protection documentation.
Can I export entries for a specific date range?
Yes! When generating PDFs, select custom start and end dates. Only entries within that range will be included in the export. Perfect for monthly reports, project summaries, or specific incident documentation.
Are images included in PDF exports?
Yes, if you choose to include them. When generating a PDF, you can select whether to include attached images. Images are formatted professionally within the report for clear documentation.
Appearance & Customization
How do I enable Dark Mode?
Go to Settings → Appearance → Dark Mode. DigiDiary features a carefully designed dark mode with optimal contrast and readability. Dark mode uses less battery on OLED screens and reduces eye strain in low-light conditions. The theme automatically applies across the entire app.
Can I use DigiDiary on my iPad?
Absolutely! DigiDiary is optimized for both iPhone and iPad. On iPad, you'll see a split-screen interface with your diaries on the left and entries on the right for efficient management. All features work identically on both devices, and they sync seamlessly via iCloud.
Technical & Privacy
Where is my data stored?
All data is stored locally on your device in an encrypted SQLite database. If iCloud sync is enabled, data is also stored in your personal iCloud account (encrypted by Apple). We have no servers and cannot access your data. You have complete control and ownership.
Is my API key secure?
Yes. Your API key uses bank-level security: stored in iOS Keychain with AES-256 encryption, never in source code, and never transmitted except to the transcription service you selected. Each device gets a crypto-secure persistent UUID for audit tracking. Your keys are protected by the same security used for banking apps.
What happens to my audio recordings?
Audio files are temporarily stored during transcription, then can be automatically deleted. You can enable auto-cleanup in Settings to automatically remove audio files older than 30 days, keeping only the transcribed text.
Can I backup my diaries outside of iCloud?
Yes! Export your diaries as PDFs and save them to Files, email them, or store them wherever you prefer. Regular PDF exports serve as excellent backups and can be kept for compliance or archival purposes.

Troubleshooting

Microphone Not Working

  • Go to iPhone Settings → DigiDiary
  • Enable Microphone access
  • Force quit and restart the app
  • Check if other apps can use the microphone
  • Restart your device if issue persists

iCloud Sync Issues

  • Check Settings → [Your Name] → iCloud
  • Ensure iCloud Drive is ON
  • Verify you have available storage
  • Try toggling sync off/on in DigiDiary
  • Check internet connection

Transcription Errors

  • Speak clearly at moderate pace
  • Minimize background noise
  • Check internet connection
  • For AI transcription: Verify API key is valid
  • Try different transcription provider

PDF Generation Failed

  • Ensure you have entries to export
  • Check available device storage
  • Try generating with smaller date range
  • Disable image inclusion temporarily
  • Restart the app and try again

Images Not Attaching

  • Go to iPhone Settings → DigiDiary
  • Enable Photos access
  • Check available device storage
  • Try taking photo vs selecting from library
  • Ensure image isn't corrupted

Location Not Capturing

  • Go to Settings → DigiDiary → Location
  • Select "While Using the App"
  • Enable location capture in DigiDiary settings
  • Check Location Services are enabled globally
  • Try creating a new entry
