Getting Started & Basic Usage ›
How do I create an entry with a specific time?
Simply say the time at the beginning of your recording. For example: "At 1430, signal HY17 cleared" or "At quarter past three, commenced protection" (the app will interpret this based on the time of day - 03:15 for morning, 15:15 for afternoon). The app automatically detects and sets the time from your speech.
Can I customize the vocabulary for my railway network?
Yes! Go to Settings → Speech Recognition Settings → Vocabulary Preset. Pre-loaded options include Sydney Trains, ARTC, and MTS railway terminology. You can also create custom vocabulary for your specific role, adding technical terms, station names, signal types, or any specialized terminology.
How do I switch between transcription methods?
Go to Settings → Dictation Provider. You can choose between Apple Dictation or AI-powered transcription options. Each method has different strengths for accuracy and railway terminology recognition.
What's the recording time limit?
Recording limits vary depending on your transcription method. For longer documentation, you can record multiple consecutive entries.
Multiple Diaries & Organization ›
How do I create and manage multiple diaries?
Create unlimited diaries for different projects, worksites, or time periods. Tap the "Diaries" button in navigation, then tap the + button. Each diary is completely independent with its own entries, settings, and reports.
How do I switch between diaries?
Tap "Diaries" in the navigation bar to see all your diaries. Tap any diary to make it active. The active diary is where new recordings are saved. On iPad, you'll see a split-screen view with diaries on the left and entries on the right.
Can I archive old diaries to declutter my view?
Yes! Swipe right on any diary (except the active one) to archive it. Archived diaries are hidden from your main view but remain fully accessible. To view archived diaries, tap the Archive icon. You can unarchive them anytime.
How do I delete a diary?
Swipe left on any diary and tap Delete. Warning: This permanently deletes the diary and all its entries. If cloud sync is enabled, it will be deleted from all devices. Deleted diaries can be recovered for a limited time from "View Deleted Diaries".

Can I edit entries after recording?
Absolutely! Tap any entry to view it, then tap the edit icon. You can modify the text, change the time, add or remove images, or delete the entry. All changes save automatically and sync to cloud. Every edit is logged in the audit trail with full revision history.
How do I add images to my entries?
Tap the camera/image icon when creating or editing an entry. You can take a photo directly or choose multiple images from your photo library. Images are stored securely and sync via cloud. Perfect for documenting work sites, equipment status, or visual evidence.
What is the audit trail feature and why is it important?
Every time you edit an entry, DigiDiary creates a complete revision record. This includes the full text before and after changes, exact timestamp, device ID, and location data. Essential for compliance, accountability, and quality control in safety-critical rail work.
How does geotagging work?
When you create or edit an entry, DigiDiary can automatically capture your GPS location. View entries on a map to see exactly where you were when recording. Tap any location to open it in Apple Maps or Google Maps. Enable/disable in Settings.
Cloud Sync & Backup ›
How does cloud sync work?
When signed in, all your diaries and entries sync automatically across all devices. Enable "Auto-Sync" to sync every 15 minutes and when you open the app, or tap "Sync Now" for manual sync. All data is encrypted in transit and at rest.
What is Auto-Sync and should I enable it?
Auto-Sync automatically syncs your diary every 15 minutes and whenever you open the app. Enable it in Settings → Cloud Sync → Automatic Sync. Perfect if you use multiple devices and want your data always up-to-date. Uses minimal battery and data.
What happens if I edit the same entry on two devices?
The most recent edit wins. If you edit an entry on your iPhone at 2:00 PM and on your iPad at 2:15 PM, the iPad version will be kept when devices sync. Both versions are saved in the audit trail.
Can I use the app offline?
Yes, but with limitations. You can create entries, add images, and view existing content offline. However, voice transcription requires internet connection. Offline entries will sync automatically when you reconnect.

How do I generate a PDF report?
Tap the document icon in your diary, then select "Generate PDF". Choose your date range, select your form format (MRF 017, ARTC COR-FM-060, or NRF017), and tap Generate. The report includes all entries with timestamps, descriptions, images, and location data.
What's the difference between the PDF formats?

Can I export entries for a specific date range?
Yes! When generating PDFs, select custom start and end dates. Only entries within that range will be included. Perfect for shift reports, weekly summaries, or specific incident documentation.
Are images included in PDF exports?
Yes, if you choose to include them. When generating a PDF, you can select whether to include attached images. Images are formatted professionally within the report for clear documentation.
Account Management ›
What features are included?
DigiDiary includes AI-powered voice transcription, unlimited diaries and entries, cloud sync and backup, PDF export with official railway forms (MRF 017, COR-FM-060, NRF017), geotagging, image attachments, complete audit trails, and dark mode.
How do I delete my account?
Go to Settings → Account → Delete Account. This will permanently delete all your data from our servers within 30 days. Make sure to export any important data as PDF before deletion.
Technical & Privacy ›
Where is my data stored?
Your data is stored on secure servers located in the Australia/Sydney region. Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Local device data is also encrypted. We never sell your data or use it for advertising. Note: Voice transcription uses AI services which may process audio globally - we cannot determine whether Apple processes your audio locally on-device or externally.
Is my data secure?
Yes. We use industry-standard security: TLS 1.2+ encryption in transit, AES-256 encryption at rest, iOS Keychain for sensitive data, and secure cloud infrastructure hosted in Australia. We comply with the Australian Privacy Act 1988.
What happens to my audio recordings?
Audio files are temporarily stored during transcription, then can be automatically deleted. You can enable auto-cleanup in Settings to automatically remove audio files older than 30 days, keeping only the transcribed text.
Can I backup my diaries outside of cloud sync?
Yes! Export your diaries as PDFs and save them to Files, email them, or store them wherever you prefer. Regular PDF exports serve as excellent backups for compliance and archival purposes.
Troubleshooting
Microphone Not Working
- Go to iPhone Settings → DigiDiary
- Enable Microphone access
- Force quit and restart the app
- Check if other apps can use the microphone
- Restart your device if issue persists
Sync Issues
- Check your internet connection
- Ensure you're signed in (Settings → Account)
- Try manual sync (tap Sync Now)
- Sign out and sign back in
- Check if sync is enabled in Settings
Transcription Errors
- Speak clearly at moderate pace
- Minimize background noise
- Check internet connection
- Try different transcription provider
- Update railway vocabulary in Settings
PDF Generation Failed
- Ensure you have entries to export
- Check available device storage
- Try generating with smaller date range
- Disable image inclusion temporarily
- Restart the app and try again
Images Not Attaching
- Go to iPhone Settings → DigiDiary
- Enable Photos access
- Check available device storage
- Try taking photo vs selecting from library
- Ensure image isn't corrupted
Location Not Capturing
- Go to Settings → DigiDiary → Location
- Select "While Using the App"
- Enable location capture in DigiDiary settings
